Quick answer: Choose Microsoft Teams first when your team already manages work in Microsoft 365 and wants conversations beside shared Office files. Choose Slack first when channel-based discussion across a mixed tool stack is the central need and a named owner will manage external connections and retention. Test the same client handoff in both before changing the team’s communication home.
For: small agencies, consultancies and service teams deciding where internal project conversations should live. This is a source-based workflow comparison, not a hands-on speed, security or price ranking. The example is hypothetical.
Start with the record, not the chat window
A team message can alert someone to a task, but the task still needs an owner and a durable record. Before comparing apps, decide where approved project files live, how the next action is assigned and how a colleague finds the decision after an absence. If your current failure is an unowned customer enquiry, read the shared inbox versus CRM decision first. Adding another chat surface will not resolve that ownership gap.
Slack describes channels as spaces for projects or teams, with public and private visibility choices. Microsoft describes Teams channels for conversations and files; standard channels are available to the team’s members, while private and shared channels have different membership models. The names sound similar, but the surrounding file and external access setup matters more than a channel count.

| Question | Slack route | Teams route |
|---|---|---|
| Where is the approved file? | Define the system of record and link to it from the channel. | Check the connected SharePoint location and who can edit there. |
| Who sees a project discussion? | Check public/private channel membership and external connection settings. | Choose standard, private or shared channel deliberately; check team and channel membership. |
| How does an outside partner join? | Evaluate Slack Connect and the partner’s plan and invitation rules. | Evaluate guest or shared-channel access and your Microsoft 365 configuration. |
| What survives staff turnover? | Document ownership, access removal, file location and current retention settings. | Document team ownership, guest removal, file location and current retention settings. |
Test external work before committing
Slack says Slack Connect channels support work across organisations, with paid-plan requirements for channel collaboration. This is distinct from inviting a guest into your own workspace. Verify the current plan, admin approval and what the partner can see before designing a client process around it.
Microsoft documents Teams guest access for people outside an organisation. It also documents standard, private and shared channels. The exact route depends on tenant settings and the partner’s identity setup. A guest invited to a team can have access to its standard channels, so do not treat a general team as a client-specific room. Check the actual membership and file access with a non-sensitive sample.
For Teams, Microsoft states that files in standard channels live in the team’s connected SharePoint site. That is useful when the team already works with Microsoft 365 files, but it means channel membership and document permissions deserve a joint review. For Slack, decide which existing drive or project system owns the approved copy and link to it. Avoid treating a file dropped in a conversation as the only project archive.
Turn an internal decision into a client update
In a hypothetical handoff, the designer writes in the team channel, “Draft B is ready, but the third approved photo is missing.” That is useful internally, but it leaves the client to infer whether the review date moved. The account lead records the current draft and missing item in the project home, then sends a concise client update: what is ready, which photo is needed, who will check it and when the review date will be confirmed. Do not copy the entire channel discussion or make the customer search for the decision.
Use the client project status update guide to choose email, a dated report or a dashboard by the client’s actual retrieval needs. If the update says “waiting on client,” use the missing client inputs guide to name the specific request, owner and safe work that can continue.
Run one bounded handoff
Hypothetical case: a three-person agency receives a revised client brief and needs its designer, account lead and external freelancer to agree on the approved version. Create a non-sensitive sample brief in the intended file home. In each candidate tool, ask: Can the assigned people find it? Can the freelancer see only the intended discussion and file? Can the account lead locate the final decision a week later? Can a backup owner continue the work when the original owner is away?
Write down the point at which a message becomes a task or approved document. For example: the account lead records the agreed brief version in the project folder and assigns the next action in the team’s work tracker, then posts a link in the channel. The conversation helps coordination; the record supports handover.
Fit rule: Prefer the option that makes the existing file and identity setup easier for the team to administer, provided the awkward external-access case passes. If both pass, weigh the actual plan terms, training burden and retention needs. If neither passes, repair the access and record design before paying for a new chat subscription. The offboarding guide provides a practical exit check.

Useful detail: Saved for later is a personal queue
Slack’s saved items and personal reminders are visible only to the person who saved them.
Use Later to avoid losing your own reading, but move a shared promise into the team’s agreed work record. Otherwise two colleagues can leave the same conversation with different private task lists.
Try this:
- Save a useful message for your own review.
- For shared work, record an owner, due time and link to the original discussion in the work home.
- Confirm the owner can see and accept the task; a private bookmark is not an assignment.
