Quick answer: Use Zoho CRM or Pipedrive only after you define who owns a new enquiry, when it becomes an active opportunity, and which next action must be visible. Zoho CRM documents assignment rules for eligible incoming records; Pipedrive organizes leads, deals and activities around follow-up. Choose by testing your actual handoff, not by counting feature names.
For: a lean service team moving from a spreadsheet or replacing an unclear CRM process. This comparison uses official documentation; it is not a hands-on vendor trial, price survey or promise of better sales results. Confirm plan permissions and integration behaviour for your own account.

Which team is each likely to fit?
Shortlist Zoho CRM if your main problem is routing different kinds of incoming work to different owners and you are prepared to maintain the conditions. Zoho says assignment rules can be configured for several modules and apply to records arriving through imports, webforms or third-party APIs. It also describes a review process and workflow interactions. Do not assume every method of creating a record invokes the same rule. Zoho assignment-rule FAQ.
Shortlist Pipedrive if the team’s daily problem is an open lead or deal without a clear next activity. Its documentation describes leads, deals and activities, including calls, meetings and tasks. The test is whether a colleague can see the owner and next action on a live record, not whether the interface has a pipeline graphic. Pipedrive data organization; Pipedrive activities.
Stay with the spreadsheet for now if the team has not agreed what a qualified lead means, who assigns it or when follow-up stops. Software can display an inconsistent process more neatly without settling it. Our lead follow-up process gives a neutral rule to establish first.
Compare the same enquiry in both systems
On a small screen, swipe the table sideways to see all columns.
| Decision | Zoho CRM test | Pipedrive test |
|---|---|---|
| New enquiry | Check the intake module and whether the actual creation route triggers the intended assignment rule. | Check where the lead lands, its linked contact and visible owner. |
| Qualified work | Define the evidence and who creates or updates a deal. | Define when a lead converts to a deal and which pipeline stage applies. |
| Next action | Check task owner, date and visibility on the relevant record. | Check the activity owner, date and link to the lead or deal. |
| Leaving the tool | Check module exports versus a complete backup for the records you need. | Check exports for leads, deals and the separate activities, notes and files. |
The lead/import distinctions are documented in Zoho’s import guide and Pipedrive’s lead import guide. Pipedrive says imported leads need a title and person or organization name. These rules matter if a spreadsheet row represents several objects rather than a single contact.
Define the ownership rule before any automation
Write down three cases: an ordinary enquiry, one outside your service area, and one that needs a specialist. For each, specify the person or team that receives it, the first action and the deadline. If two rules match, decide who resolves the overlap. An unassigned record should land in a monitored review queue with a named backup, not disappear into an exception report.
Zoho’s assignment FAQ explains that rules apply to certain entry routes and describes interactions with other automation. This makes an actual entry-route check important. In Pipedrive, inspect the person or organization linked to the lead and the activity used for the next step. Neither product’s documentation proves your chosen webform, connector or email route is configured correctly. Do not send a real prospect through an unverified workflow.
A hypothetical five-person consultancy
Imagine a five-person consultancy receiving 20 enquiries in an illustrative month. Some ask for a standard assessment; others need a specialist. The team defines “qualified” as in-scope work with a named contact and a confirmed next conversation. It then maps three fictional records in each candidate CRM: ordinary, specialist and out-of-area. The owner checks who can see each, who must respond, and whether a deal is created only when the qualification rule is met.
The decision is not based on that invented volume. If conditional assignment and review are the bottleneck, Zoho’s documented routing options deserve a closer look. If the team already routes enquiries manually but repeatedly loses next actions, Pipedrive’s lead/deal/activity workflow may fit better. These are editorial inferences from product documentation and the stated workflow, not measured outcomes.
Test imports and exits before committing
Use a small authorized sample with a duplicate candidate, a contact linked to a company, an open deal and a task. Map fields and review the resulting relationships rather than celebrating an upload count. Pipedrive documents import mapping for people, organizations, leads, deals and activities. Zoho’s import guide describes module-specific import routes. Start with our CRM migration checklist and keep the source export untouched.
For exit planning, Zoho distinguishes module exports, reports and a complete backup. Pipedrive says activities, notes and files linked to deals or contacts must be exported separately from some main item exports. Check permissions and sample files early; a contact list alone may not preserve open work. Zoho export options; Pipedrive export guidance.
Make a decision record
Record the entry route, owner rules, lead-to-deal trigger, next-action rule, exception owner, pilot findings, import coverage and export gaps. Hold the decision if a required step needs a plan, permission or integration that you have not verified. For a different CRM route, compare our Pipedrive and HubSpot guide.
Useful detail: Confirm the new owner before testing the routing rule
Zoho CRM assignment rules do not assign records to an unconfirmed user.
During a Zoho-versus-Pipedrive pilot, an invited colleague and a usable routing destination are different checkpoints. Check the colleague’s account state before interpreting a failed ownership test as a broken rule.
Try this:
- Confirm the intended owner has completed the required account confirmation.
- Create a harmless record through a supported assignment route.
- Inspect the actual owner and fallback result; keep the account-state check in the pilot record.
