Quick answer: Start with HubSpot’s free CRM when your first job is to put contacts, deals and next actions in one shared place. Shortlist Pipedrive when a sales team wants to work from a visual deal pipeline and is ready to pay for the seats and capabilities it needs. The deciding question is whether the next owner can see and complete a real follow-up, not which demo has more features.
Reader fit: This guide is for a small service team handling enquiries and quotes. It uses vendor documentation checked October 2, 2026, not a side-by-side account test. Features, trials and billing vary; verify the exact plan in your region before purchasing.
Choose by the work that is getting lost
On a phone, swipe the table sideways to see every column.
| Your bottleneck | Starting route | Proof to demand in a trial |
|---|---|---|
| One owner forgets to follow up | Fix the process first; test HubSpot free tools or a structured spreadsheet. | Every open enquiry has an owner and next date. |
| Several people move quotes through stages | Test Pipedrive’s pipeline against HubSpot’s deals. | The backup owner can find the latest activity and the next action. |
| Website enquiries also need marketing tools | Assess HubSpot’s wider tools and their plan gates. | Form, consent status and sales follow-up stay distinct. |
| Web forms or advanced routing are essential | Check the exact paid package and any add-on in both products. | The live form creates the right record without duplicates or missed alerts. |
HubSpot presents contact, deal and task management as part of its free CRM entry point. Pipedrive’s lead-management documentation describes a Leads Inbox, activities and a visual pipeline. Its billing guide says the selected plan has a base price per seat. Neither description guarantees that your particular form, automation, reporting or permission requirement is in the entry package.
Run one identical case through both products
Imagine a three-person home-renovation firm. A new enquiry needs a site visit, a quote and a decision. These are fictional facts for a trial, not measured product results. Create a test record called “Example kitchen enquiry” with a fictional contact. Assign the first owner, schedule the site visit, record the quote date, then make the owner unavailable. Ask another team member to find the latest update and take the next action without asking the original owner.
A pass means the team can answer four questions from the record: who owns it, what has happened, what comes next and when. A beautiful pipeline that cannot answer those questions has failed the test. Use the same stages and fictional records in each product. Our stage-exit guide helps define when a deal genuinely moves forward; the data dictionary keeps fields consistent.
Cost the real workflow, including the exit
- Seats: list everyone who must view, edit or administer records. Price their actual roles and the chosen billing period.
- Capture: identify whether the website form can create a lead directly, needs an add-on, or requires a separate integration. Pipedrive documents its LeadBooster add-on; check current packaging before assuming Web Forms are included.
- Follow-up: test reminders, activities and backup ownership in the plan you would buy. Do not count an advertised automation you cannot use in that plan.
- Exit: export fictional contacts, deals and activity data. HubSpot documents record exports; Pipedrive explains item and activity exports, including permission limits and separate exports for some linked items.
Use the SaaS trial scorecard to record what actually worked, and the data export checklist before committing to an annual term. We omit exact prices because country, currency, billing period, seats and add-ons can change the answer.
What each route gives up
HubSpot’s free starting point reduces the cost of testing a shared record, but a growing team may need paid tools for its specific sales or marketing workflow. Pipedrive offers a focused pipeline route, but paid seats and add-ons must justify themselves against the work saved. A spreadsheet remains a valid option when one owner manages a small number of enquiries reliably. Compare all three with the same case, rather than treating a free plan as automatically cheaper to operate.
Next step: Write your three most common enquiry paths, choose one as the trial case and ask the person who handles the work to complete it in each shortlisted system. If missed replies start in the inbox, read Shared Inbox or CRM? first. If HubSpot remains the frontrunner, our HubSpot small-service-business guide includes a downloadable two-week worksheet.

Useful detail: Owner and visibility are different checks
Pipedrive separates permission sets, which govern actions, from visibility groups, which govern accessible information.
In the follow-up pilot, test the replacement owner’s view as well as the assignment. A colleague who receives a task but cannot read the associated deal has not received a usable handoff.
Try this:
- Assign a disposable deal to the backup colleague.
- Open its contact, deal and relevant activity as that colleague.
- Record any visibility boundary separately from the right to edit, and compare the equivalent HubSpot test.
